Generating Monthly Rent Roll in Appfolio

1. Login to Appfolio.

2. On the left side of the screen under the section titled ‘Dashboard’, select ‘Reporting’ to open options listed underneath. Click on ‘Reports’. In the center section of the screen, there are different kinds of reports listed that you can select (Tax Reports, Tenant Reports, Transaction Reports, etc.)

3. Under the ‘Property and Unit Reports’ box, you’ll find ‘Rent Roll’.

4. On the ‘Rent Roll’ page, there is a button on the top right labeled ‘Customize’. A small box will appear in the center of the screen that will allow you to include/remove columns such as ‘Unit’, ’Sq. Ft.', 'Market Rent', etc.

5. The information that we need from the Rent Roll are: '

*Tenant

*Rent

*Lease From

*Lease To

*Street Address, Unit #, City, State, and Zip Code

*Past Due

6. Then, select the tab labeled 'Grouping' and then, 'Do not group rows'. Select the 'Update' button at the bottom of the pop-up box, then 'Save'.

7. On the Rent Roll page, select the button at the top right of the screen labeled ‘ACTIONS'. Under the drop down menu, select ‘Schedule’.

8. A large box will appear that will allow you to set up an automated monthly rent roll. Feel free to name the report something like 'MonthlyYourPropertyManagementCompanyNameRentRoll'.

9. Under ‘Format’, select CSV.

10. Under ‘e-mail options,’ in the recipients bar, add the e-mail '[email protected]'. In the subject line, write, 'MonthlyPropertyManagementCompanyNameRentRoll'.

11. Below the message box, you’ll see a space to select the start date. For the date, select one day after rent is due - including the grace period (if rent is due on the 1st and fees begin on the 5th, mark the start date as the 6th.) Finally, under Frequency, select 'monthly'.

12. After you have inputted the information above, click the blue button on the bottom left of the box labeled 'Save'.

You're all set! Your weekly rent roll will now be automatically e-mailed and we will update the roll on our end as soon as we receive it.
